TIPS FOR CONFERENCE ORZANIZERS AND SPEAKERS

I just finished interpreting a conference during 3 days and I would like to share some tips…

ADVICE TO CONFERENCE ORGANIZERS

Hiring professional conference interpreters means high-quality interpretation services for your conference.  However, for the interpreters to do their best possible work, please remember the following points:

 •        Give each speaker a copy of our Advice to Speakers.

 •        Send all conference documents ahead of time.  These materials should be received early enough for us to become familiar with them and to prepare glossaries of technical terms.  These documents may include:

  •  agenda/program
  • biographical profiles of speakers
  • texts of speeches to be presented
  • minutes of the previous meeting
  • reports on conferences held previously on the same topic
  • any materials provided to delegates
  • preparatory documents (of non confidential nature) that were used to develop the agenda.

 •        Any documents distributed during a meeting (i.e. resolutions) should also be handed immediately to the interpreters.

 •        If the conference is highly technical, it is advisable to organize a  briefing session between the interpreters and the speakers beforehand.

 •        To ensure smooth coordination during the conference, we recommend  that you assign one individual to be your organization’s contact person with the interpreters.

 •        List of the delegates who will require our services

 ADVICE TO SPEAKERS

We provide professional interpreters who will communicate your message to the delegates who do not speak your language.  You can help them in that task by following these simple guidelines: 

If you have a written speech or notes for your speech (even if you do not intend to read them), please make sure that the interpreters receive a copy so that they can become familiar with your subject and terminology.  Since the interpreters’ role is to convey the meaning of your statements, do not hesitate to stray freely from your text.  Since interpreters are bound by professional confidentiality, your document will be quite safe with them.

If your paper is very technical, you may wish to give the interpreters any technical vocabulary that you may have.  You may also ask the conference secretariat to organize a short briefing for the interpreters.

If you want to show a film or a power point presentation, make sure that the interpreters have a copy of the script or text.  The interpreters are usually located rather far from the screen and it will help them considerably if they have those documents. 

 Speak at your normal pace.  Try to resist the natural tendency to speak much faster than usual when reading your speech, otherwise you will lose your audience and your message will not get across … in any language. 

 Please do not tap on the microphone to check if it is on as this could be harmful to an interpreter’s hearing.  Simply say a few words like “Good morning” or “Thank you, Mr. Chairman”.

 Do not speak too close to the microphone as this creates interference. Also, do not leave your receiver close to the microphone when you speak as this causes feedback.
